Cloud Sharing

Items contained in the Cloud Gallery like Screenshots, Screencasts, Videos, Behavior Reports and Event Snapshots automatically can be accessed by other members of the webQsee team that the Cloud Gallery belongs to.
If you are a single user that uses the Cloud Gallery without other team members, you will still profit from using it - for example you will be able to access your Gallery Items on multiple PCs as soon as they are stored in the Cloud Gallery.
Items contained in the Cloud Gallery can also be shared with external systems, which is what we call Cloud Sharing.
Those external systems currently are:
- Jira (create new issues or attach to existing ones via comment)
- Slack (via WebHook)
- Microsoft Teams (via WebHook)
Sharing Workflow
Screenshots, videos, Behavior Reports and Event Snapshots that have been uploaded to the Cloud Gallery, can be shared:
- Within the webQsee team that the Cloud Gallery belongs to: all members of the team will be able to access items in the Cloud Gallery as soon as they have been uploaded. The only exception are items that have been uploaded in "private" mode, so only the uploader can see those items in the Cloud Gallery. Private Cloud Gallery items can be converted to items that are visible to the whole team.
- With Jira. Creation of new issues is possible as well as commenting existing issues.
- With Slack. A Slack WebHook is required for receiving the incoming data. We provide a guide that explains the setup of the WebHook.
- With Microsoft Teams. A Teams WebHook is required for receiving the incoming data. We provide a guide that explains the setup of the WebHook.
Sharing Cloud Gallery Items with Jira, Slack and Microsoft Teams has one thing in common:
What actually is shared are permanent links to the shared item(s) plus some metadata (title, description, ...) and a custom text.
Those permanent links can only be opened by team members of the webQsee team that the Cloud Gallery item(s) belong to.
So, if you share, for example, a video with Jira, the target Jira ticket will then contain a link to this item and some metadata like the length of this video and a custom text in which you can explain why you shared this video.
We are currently also working on an option to attach physical files (video, screenshot, report) to Jira issues, but that feature is not yet completed.
- If someone clicks the shared video's link, then the browser of this person will try to open the item in the Cloud Gallery of the webQsee browser extension.
- If the person that opens the link does not have the webQsee browser extension installed, he will se a message that asks him to install it.
- If the person that opens the link does have the browser extension, but is not logged into webQsee, he will see a message that asks him to log in.
- If the person that opens the link has the extension, is logged in but is not a member of the team that the Cloud Gallery Item belongs to, he will see an error message, telling him that he has no permission to view this Gallery Item.
- If the person that opens the link has the extension, is logged in and is allowed to view the Gallery Item, then the Cloud Gallery of his webQsee browser extension will automatically open and display the shared Gallery Item.

- Restriction: Sharing items of the Local Gallery with Jira requires the physical files (screenshots, videos, reports) to be attached to the Jira ticket, because there is not any Cloud-item that we could link to in this case.
So you might need to adjust the maximum allowed attachment size in the target Jira instance. - Jira Sharing for Local Gallery is currently work in progress and not yet available!
- Restriction: Sharing items of the Local Gallery with Jira requires the physical files (screenshots, videos, reports) to be attached to the Jira ticket, because there is not any Cloud-item that we could link to in this case.
- Target: Share as perma-Link
- Restriction: perma-Links to items in the Local Gallery only work in the browser where the links have been created, because all items in the Local Gallery are stored only locally in the browser. So you can't access those items on multiple PCs.
- Target: Jira

- You can decide to only share metadata + perma-Link of items in your Cloud Gallery or to also share the full physical files (of screenshots videos and reports).
If you share only metadata + perma-Link, then only members of your webQsee team will be able to view the shared items.
So, if you are a single user that uses the Cloud Gallery, you should probably also attach the physical files when sharing with external Jiras (because noone else but you will be able to open shared perma-Links to items in your Cloud Gallery). - Attaching physical files to Jira issues is currently work in progress and not yet available!
- You can decide to only share metadata + perma-Link of items in your Cloud Gallery or to also share the full physical files (of screenshots videos and reports).
- Target: Slack
- Currently, you can only share metadata + perma-Link of items in your Cloud Gallery with Slack.
So, only members of your webQsee team will be able to open these links.
If you are a single user that uses the Cloud Gallery, it probably does not make much sense to share items with Slack, because you will be the only one able to open the shared perma-links. - In the future, we might introduce an option to create temporary public links to physical files in your Cloud Gallery, including Behavior Reports and Event Snapshots. But this feature is not yet available!
- Currently, you can only share metadata + perma-Link of items in your Cloud Gallery with Slack.
- Target: Microsoft Teams
- Currently, you can only share metadata + perma-Link of items in your Cloud Gallery with Microsoft Teams.
So, only members of your webQsee team will be able to open these links.
If you are a single user that uses the Cloud Gallery, it probably does not make much sense to share items with Microsoft Teams, because you will be the only one able to open the shared perma-links. - In the future, we might introduce an option to create temporary public links to physical files in your Cloud Gallery, including Behavior Reports and Event Snapshots. But this feature is not yet available!
- Currently, you can only share metadata + perma-Link of items in your Cloud Gallery with Microsoft Teams.

- Perma-Links to items in your Cloud Gallery can only be opened by members of your webQsee team. So, if you are a single user that uses the Cloud Gallery, you will be the only person able to open these links.
- Target: Share as temporary public Link
- In the future, we might introduce an option to create temporary public links to physical files in your Cloud Gallery, including Behavior Reports and Event Snapshots. But this feature is not yet available!
- Target: Jira

Requirements
These are the requirements to use Cloud Sharing:
- You either need to get a paid webQsee account (= upgrade your free account), or you need to be invited to join another webQsee team that is already using Cloud Sharing.
So, if you are a free user, it is sufficient that a paying webQsee customer with subscription level Small Team or higher invites you into his own team, allowing you to share data with his configured Cloud Sharing targets without having to spend any money yourself.
As an additional benefit, if you join another team, you inherit the maximum video recording duration and the ability to import Behavior Reports from this team. Even if you have a free user account. - You need a system to share data with (Jira, Slack, Teams) or alternatively you can share perma-Links to items in your Cloud Gallery that can only be opened by other members of your team (or only by you if you are a single user).
In future, we might introduce an option to create temporary public links to physical files in your Cloud Gallery, including Behavior Reports and Event Snapshots. But this feature is not yet available!
